Gyms and studios usually run membership tracking on spreadsheets and paper forms. When a membership ends, whether it was frozen, or whether it was extended, gets lost in scattered records; members whose plans expire are quietly lost because no one remembers them in time.
When capacity and booking for group classes are managed by phone or message, confusion follows and the front desk stays busy. Members have to call just to find out whether a class has space.
When gym access is checked by hand, people with expired memberships can slip through. Because payment tracking is manual, reminding a member when renewal is due gets forgotten and collections slip.
The Solution
We built a membership management system for the studio that gathers registration, freezing, extensions and package sales on one screen. Each membership's status and end date is clearly visible.
We added a class schedule module for group classes, capacity and online booking. Members pick a suitable class and reserve a spot themselves, easing the phone load on the front desk.
We provided access control and live attendance via turnstile integration using QR or card. Automatic notifications go to members whose plans are nearing expiry; reports on active members, renewal rate and revenue show the gym's state at a glance.
