Dental clinics, polyclinics and aesthetic centers usually manage appointments with a paper diary. Because practitioner, room and procedure clashes are tracked by hand, they slip through: two patients booked for the same slot, or an appointment given for an hour a practitioner isn't available, are common problems.
A no-show means an empty working hour for the clinic. Manual reminder calls take time and get forgotten on busy days; the empty chair cannot be recovered.
Patient history sits scattered across paper files. Reaching a patient's previous exam notes, the treatment applied, or the remaining sessions in a multi-session treatment wastes time. Storing patient data with role-based access in line with data-protection rules is nearly impossible on paper.
The Solution
We built an appointment management system that plans bookings by practitioner, room and procedure. Because each practitioner's hours and availability are managed separately, clashes don't occur.
We added automatic appointment reminders over SMS / WhatsApp. A reminder sent before the appointment aims to reduce no-show-driven empty slots — and removes the burden of staff calling patients one by one.
We brought exam notes, treatments performed and file attachments together on a single patient card. For multi-session treatments, the plan, remaining sessions and payment status can be tracked. All patient data is stored with role-based access, in line with data-protection requirements.
